• [ ] Decide who needs to be involved in the meeting from your team.
  • [ ] Schedule a time that works for the client and the team involved. Keep in mind the time differences.
  • [ ] Make sure to document all the notes from the call.
  • [ ] Create an agenda for the meeting or at least a list of questions/requests/doubts you have about the project and that you need clarification on. If the dev is not present, check in with him beforehand, so you can collect his doubts and get them answered by the client.
  • [ ] During the meeting make sure you discuss the following:
    • Roles and responsibilities - make sure to introduce yourself and the rest of the team along with the roles that each member will take on. It’s also important to let the client know who they can turn to for help with dev work, or account-level help. Ensure to ask the clients about their roles and responsibilities to have a clear idea of who to turn to for what.
    • Project brief - what is the project about? Its short and long-term goals. Project’s strengths, weaknesses, and possible risks.
    • Scope - what are the deliverables included in the scope, along with access to the Webflow account, designs, and any other assets that we need to get started.
    • Project timeline - when is the deadline for the project? Is the deadline fixed or flexible?
    • Establish a communication plan with the client - use the preferred tool. If the client is using another software for backlog management, make sure you and the dev have access to it, and that any changes to the backlog are communicated through the preferred communication tool.
    • Q&A session - use this time to clear any doubts and enquires you or the dev might have about the project. Ask the client if they have any questions and if everything is clear… Congratulations, you’ve run a successful kick-off meeting with your client.
  • [ ] After the meeting, make sure you share your notes with the client so both parties are on the same page about what was discussed, and in case of any future confusion, we can always go back to the shared notes and confirm what was established during the meeting.
